EXECUTIVE ASSISTANT


Reports to: Vice President of Government Affairs

Classification: Full Time, Non Exempt


Association’s Mission:
To lead and position community clinics, health centers and networks through advocacy, education, and services as key players in the health care delivery system to improve the health status of their communities.

Purpose of Position: 

Report and interact with assigned Executive Level team. This is fast paced environment with a commitment to excellence, and the ability to be detail oriented, flexible, and highly motivated. 

Primary Responsibilities:
  • Provides primary administrative support to the President/CEO & Executive VP/Chief Strategy Officer including processing correspondence and materials, managing, and maintaining extremely active calendars in office 365.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, events and arranging complex and detailed travel plans, itineraries, and agendas.
  • Conserves executives time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Provides on-site support to CEO at conferences or speaking engagements and coordinates awardees.
  • Responsible for attending all Board of Directors meetings, meeting minutes, and ensuring members receive a high level of customer care.
  • Secures information files by developing and maintaining an intuitive file system on share drive.
  • Provides administrative support to Southwest Regional PCA.
  • Supports CEO’s social media and website accounts.
  • Assists CEO with technology applications and equipment as needed.
  • Coordinates backup with VP Executive Assistant

Skills Required:
  • Effective interpersonal and professional skills when engaging with Association membership and Board of Directors, Vendors, and Partners.
  • Adept and proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, virtual meeting platforms, and web-based applications and platforms.
  • Strong understanding of technology tools and applications to support a CEO and a 30-Member board of directors.
  • Strong problem solving and critical thinking skills.
  • Knowledge of non-profit board software such as Boardable a plus
  • Cross departmental and team collaboration skills which includes written and verbal communication.
  • Very strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.

Additional Responsibilities:
  • Attends and participates in required Association meetings.
  • Supports the Association’s Strategic Plan.
  • Participates in CPCA events and represents the Association as requested, including state and national events.
  • Travel for regional and statewide meetings, including potential training events and site visits, by air and/or ground transportation.
  • Reports regularly to Supervisor.
  • Other duties as assigned.

Education and Experience:

Associate degree preferred, minimum five years executive level management support, or equivalent experience.  Experience with community health centers, member-driven associations or non-profit organizations is also preferred.  Relevant experience will be considered in lieu of degree requirement.

Work from home:
Due to COVID19 all CPCA personnel began telecommuting to minimize the spread of COVID19. This position may return to work at the CPCA office in Sacramento, but date is to be determined. This position requires the employee to have a cell phone with a data plan and home internet service, both are reimbursed at a set rate.

Salary:
$79, 030 + Excellent Benefits
